Under UK data protection law, we must have a lawful reason for processing personal information.

Depending on the circumstances, we may rely on:

Contract or steps before entering into a contract

When you contact us asking for a quotation, survey, installation or other service, we may process your information because it is necessary to take steps at your request before entering into a contract.

If you become a customer, we may process information where necessary to provide the services agreed with you.

Legitimate interests

We may process information where it is reasonably necessary for our legitimate business interests, including:

  • Responding to business enquiries

  • Managing customer relationships

  • Maintaining our systems

  • Improving our services

  • Preventing fraud

  • Protecting our business and website

  • Establishing, exercising or defending legal claims

We consider the impact on your rights and privacy before relying on legitimate interests.

Legal obligations

We may process and retain information where necessary to meet legal, regulatory, accounting, tax or other statutory obligations.

Consent

Where consent is required, for example for certain marketing communications or non-essential cookies, we will ask for your consent.

You may withdraw your consent at any time.

5. Enquiries That Do Not Result in an Agreement

We do not want to retain personal information about potential customers indefinitely when it is no longer needed.

If you contact HiTechno about a service or quotation and we do not subsequently reach an agreement or enter into a contract with you, the personal details collected for that enquiry will be erased once the enquiry has been closed and it is clear that no agreement will be reached.

We will normally remove this information from our active systems within 30 days of the enquiry being closed.

This may include:

  • Your name

  • Email address

  • Telephone number

  • Property address

  • Details of your enquiry

  • Quotation or survey information

  • Messages and correspondence relating to the enquiry

We will not keep unsuccessful enquiry information indefinitely for possible future sales purposes.

We may retain limited information for longer where it is reasonably necessary:

  • To comply with a legal obligation

  • To establish, exercise or defend a legal claim

  • To investigate or respond to a complaint or dispute

  • To prevent fraud or misuse

  • Where you have specifically consented to another use, such as receiving marketing communications

  • To maintain a minimal suppression record where you have asked us not to contact you for marketing purposes

Where none of these exceptions applies, the information will be deleted.

6. How Long We Keep Customer Information

If you enter into an agreement with HiTechno, we keep relevant personal information for as long as reasonably necessary to:

  • Complete the installation or service

  • Provide maintenance and technical support

  • Manage warranties or guarantees

  • Maintain appropriate records of work carried out

  • Meet accounting and tax requirements

  • Resolve disputes

  • Meet legal or regulatory requirements

  • Establish or defend legal claims

Different categories of information may therefore be kept for different periods.

We periodically review the information we hold and delete or securely anonymise information when there is no longer a legitimate or legal reason to retain it.

7. CCTV and Security-System Information

Because HiTechno installs and maintains CCTV and other security equipment, there may occasionally be situations where a customer gives us temporary access to CCTV recordings, system logs, device information or other security-system data for installation, testing, maintenance or troubleshooting.

Where this occurs, we will only access or process the information necessary to provide the requested service.

Where we process CCTV footage or similar information on behalf of a customer, the customer may remain the data controller for that information and HiTechno may act as a service provider or data processor.

We do not use customer CCTV footage for unrelated purposes.

We do not sell personal information.

Some technology, website, communications or cloud-service providers may process information outside the United Kingdom.

Where personal information is transferred internationally, we take reasonable steps to ensure that an appropriate level of protection is provided and that appropriate safeguards required by applicable UK data protection law are used.

You can ask us to stop sending marketing communications at any time.

You can do this by:

  • Using an unsubscribe option provided in the communication; or

  • Contacting us at info@hitechno.co.uk

Stopping marketing communications will not prevent us from contacting you about an existing quotation, appointment, contract, installation, payment, maintenance issue or other service-related matter.

12. How We Protect Your Information

We take reasonable technical and organisational measures designed to protect personal information against:

  • Unauthorised access

  • Accidental loss

  • Misuse

  • Disclosure

  • Alteration

  • Destruction

14. Your Right to Object to Direct Marketing

You have the right to object at any time to the use of your personal information for direct marketing.

If you ask us to stop using your information for direct marketing, we will do so.

We may retain only the minimum information necessary to record your opt-out request and make sure that you are not accidentally contacted again for marketing purposes.
